Intergroup Meeting Notes

The Intergroup meets on the first Monday of every month (2nd Monday if it falls on a holiday) from 6:00-7:00pm at the Alano Club downstairs in the cafe/lunchroom. The Alano Club is located at 909 NW 24th Ave, Portland. All are welcome to attend to find out more.

 Intergroup Rep list update: Ruth. Is working on updating.

  1. Moving Intergroup meeting to another day and time: (Jeff) Motion was made and passed to investigate.  Any movement on this? David will talk to Jeff on getting the survey done. Survey Monkey, Doodle.
  2. Outreach to Therapists: Kevin – Setting up date for workshop? Waiting for confirmation from speaker to set time. Will hold in Loft. No charge for services.
  3. Web Master – Deborah has passed the baton to Stephen. Maybe can do some reorganizing, so current events don’t get lost.
  4. Breaking the Bonds – has been in committee; about ready to reprint. Leah. Original has been edited by a committee and changes have been made to reorganize information, nothing has been omitted. Need to check if ok for ACA logo to be on cover, since it is not WSO approved literature. Printing cost will be taken into effect when designing. Current cost for printing of Blue Book was .55 by David. (ACA WSO has an “open literature” policy (Deb K), meaning other resources can be used during ACA meetings or events)

New Business

 Folk, Blues and Recovery Tools II: David – Looking at a date in September to hold this event, could be Tabor Space, date and time TBD.

 Public Information Session at Salem ROCC 7/22: Mary F – we posted on website; needs support. If anyone is going please contact Ruth for carpooling.

  1. Road to Recovery Workshop, Centralia WA Old Train Depot 7/23: $10 Donation. Train fare ($ vary) David – created a flyer which we posted on the website; Ruth sent it to WA contacts; we requested RSVPs for lunch head count but have so far only received them from WA folks.  Jeff is organizing train ride; Ruth is organizing carpool. 12 people from WA have confirmed they are attending. No workshops have been confirmed yet. Affirmation Circle, Spoken Word, any other ideas please contact Ruth.
  2. Film Club is very active – email Leah to be put on google invite list thru google group. Events are not published on web. Meeting reps can announce at meetings.
  3. Campout: Julie, Logan and Jeanne – August 25-27, Milo McIver State Park, Clackamas River. Announcement has been made on web with email address for making reservations. No one has responded yet. Will start an aggressive publicity campaign as date gets closer.

Previous:

Summer of Love Dance – 30 people attended. A fun time was had by many. Other costs that were not covered by the original $200 motion approved for event was covered by David. He can submit the expenses and make a motion for reimbursement in the future.

Old Business

  1. ACA Sandwich Board and Banner – Ruth called Twin Rocks and they are saving the “sign” for us that we left behind. At least one of the two that were missing.
  2. Intergroup List Update – Ruth sent out an email 4/27 to all IG reps on our list to see if their information is current, and to ask for updates. Responses are coming in, A couple have said they are no longer reps but would like to stay on the list. Ruth is also trying to gather an updated list of Meeting Secretaries. We are hoping all meeting reps and secretaries will email her with their info.

New Business

  1. New Intergroup Committee Positions –Site Committee, Brendan, David & Jim. They are looking for places that we can hold events.
  2. Outreach to therapists – discussion of conflict of interests, or bringing in outsiders with tools other then the 12 steps to support ACA recovery. Kevin is setting up dates for workshop.
  3. Coordinating events with other 12-step groups – most 12 step programs do not support one another, mostly only ACA. How do we welcome other fellowships without creating animosity?
  4. Public Information – Mary F from Salem wants to organize a Public Information Seminar to increase awareness in her area of Oregon. Ruth will invite her to our next IG meeting to discuss her idea and how we can support her.
  5. Jeff suggests moving IG meeting time and will arrange a survey and report back. Motion to survey meeting reps to find a more appropriate day to change IG meeting time because it is conflicting with other meetings & step groups now and attendance has been low. Events/Activities

Recent:

  1. Addicted to Excitement, the Inner Drug Store workshop – 4/1 David hosted; Deb reported on the WSO ABC. 30-40 attended. $127 was collected at Pre-event at Alano Workshop. David also collected $600 towards trips at various meetings. Deb & Saska had a great response at convention, 160 attendees signed up to receive info from her by email. They made an audio recording that will be uploaded on WSO website, and we can have a link to it on our website. David suggested we consider having Portland IG have delegates attend conference yearly, so if anyone expresses interest in future we would support their attendance representing Portland.
  2. Film Club – contact is Leah. They are forming a google group to notify when events will occur. So are have met 3 times.
  3. Game Night with Sculpting Craft has met 2 times. Rick is contact.

Upcoming

  1. Workshop with our friends from the north (Seattle area) – Possible dates and site, Sunday in late July in Centralia WA. David is looking for help to organize a daylong event. $150 is the cost for the space. Jeff suggested we first invite WA IG and see if they are interested in joining us in such an event. Currently their IG consists of only Dennis/Treasurer. Ruth will follow up.
  2. CANCELLED Sanctuary in the Woods – Guy
  3. Campout – August 25-27, Milo McIver State Park – Julie/Jeanne/Pat. Charley suggested we organize a float down river with inner tubes. We can see who is interested as people sign up to attend and he can purchase inner tubes for everyone.

  1. Literature Committee Proposal – David – Ordered the books & tote to store them in, 1 case of each, 20 red, 22 yellow, 14 traits, 20 daily reader. 50 welcome coins, 3 new meeting start-ups. Total cost $683.20 plus shipping 110.56. $793.76.  Motion to charge same price as WSO, 1st David, 2nd Ruth, all present in favor. David will look into using Book Vault Acct or shutting it down.
  2. ACA Sandwich Board and Banner – David – It disappeared at last retreat. Ruth will call Twin Rocks to see if they found it. Or else replace it with a new plastic one, to handle being out in weather better. Keep it simple. ACA Event. Use logo without words if we can, David will find out and finalize discussion next month.

New Business 

  1. Meeting Safety – Deborah – Red book (534-5, 575-6, 584-5) has info on Safety in Meetings, indexed under Groups. Monday night meeting has a planning committee to discuss safety. A group conscious can be taken at any time, at the moment or ahead of time, if an issue arises at a meeting, the group sticking together, taking a group conscious, to handle an uncomfortable situation.
  2. New Intergroup Committee Positions – Carla, Event Coordinator – put up a form online, form is available in binders at meetings, for members who want to host an event, to fill out and submit online. Electronic Calendar is on Home page. Carla can print out copies to have at Alano Club. Deborah & Carla will discuss how to best coordinate events. Site Committee, Brendan, David & Jim.

Portland ACA Intergroup #589, Annual Event Planning Meeting, March 5, 2017

Business

WSO Conference /April – (Deb K. And Saska) estimate $1600.00 in expenses (air, hotel, registration). They would like to present workshop again before conference as practice. Suggested we collect donations at the workshop to cover expenses. Previously, we had a motion to cover ½ of these expenses. Our current balance is $2800.00.  Since they are to be delegate workshop presenters, representing Portland Intergroup, it is suggested, to thank them for their service, by funding them 100%.

Motion to pay 50% now and attempt to raise other 50% at practice workshop in Portland, eventually covering their expenses regardless at 100%. Lynn 1st, Ruth 2nd, all present in favor.

New Business

  1. Literature Committee Proposal – David.  WSO offers 30% discount on all books/supplies on orders from one person from each intergroup.  They have been out of stock and it’s time for purchases.  Is it time for our Intergroup to be the source for our meeting’s books? Motion for David, who has volunteered to start the process of applying for discount, and oversee management of stock. Chuck 1st, Jeanne 2nd, all present in favor. Second motion for the $ amount not to exceed $1000 for David to use to purchase minimum order of books, Lynn 1st, Ann 2nd, all present in favor.
  2. Q and A monthly meeting for Newcomers – low turnouts and no shows, so decided to cut meeting and add a link to WSO FAQ’s to our website for newcomers. Jeanne will notify Deborah to update website and announce cutting meeting.
  3. The need for another ACA sandwich board or something like it. The previous one disappeared at the retreat. David will look into ordering a new one. Ruth will call Twin Rocks to see if they recovered old one. Also will discuss ordering a banner for displaying at ACA events. Discussion was tabled till next month.

  1. Love Yourself Dance Clean Up work party – 2/4, 3-6. 12 volunteers showed up to clean up space and get it ready for dance. Great turn out.

Upcoming 

  1. Love Yourself Dance Party (Brendan DJ) – emailed document with spending/budget details. Dance is planned for Saturday, 2/11 at 6:30-9:30 at the Hawthorne Theatre. All fellowships welcome. Details on website and flyers. $10 suggested donation.
  2. Portland Retreat Committee Fall Retreat at Twin Rocks – Ruth.  Initial Planning Meeting was set for 1/6, postponed due to weather. Next scheduled meeting will be on Saturday, 3/25 from 2:30-4:30 in the snack room at the Alano Club. Jeanne will notify Deborah to post on website.
  3. Intergroup Annual Event Planning Meeting was set for 2/5, postponed to 3/5 due to time/space limitations. There will NOT be a regular Intergroup Monday Night Meeting in March. We will take care of any business at the planning meeting on 3/5 from 12pm – 3pm in the Alano Club Basement. Potluck. Open to all to attend.
  4. Proposal to get a therapist to speak to our ACA group (Chuck) – Kevin knows one that gives talks on Inner Child and will check and see if they are available to come and talk to our group. Or Chuck can use one he knows. Will find out if they charge or if they want to hand out their business cards. Chuck will arrange location.
  5. ACA Spring Retreat at Pilgrim Firs –  March 16-19, sponsored by Western Washington Intergroup. Registration form on website.

2. Love Yourself Dance, 2/11, 6:30pm – 9:30pm. Hawthorne Theater – insurance quote $102.00. Brendan is asking for help organizing. Ballroom holds 200 people. Has not been used recently. In the past it was used for weddings. Needs to be cleaned. Needs space heaters. Jason’s uncle own’s it so we are able to use it for free, before the new owners start construction. ACA Oregon Intergroup has voted to post an ACA Agnostic / Secular 12 steps list on our website which would be in addition to the WSO 12 steps. It would not replace the original 12 steps. The purpose of this will be to help our members who do Recovery without God.

“Likewise, if the meeting requires a specific spiritual or religious belief, the basic freedom to choose is removed, and the meeting should not be called ACA.  We are a spiritual program where each person is free to choose a Higher Power or not.  There are no mandates.”  Page 74 ACA WSO Strengthening my Recovery.

ACA 12 Steps – Agnostic/Secular

  1. Admitted we were powerless over our family dysfunction and

that our lives had become unmanageable.

  1. Came to believe the wisdom of other ACA members

could restore us to sanity.

  1. Made a decision to follow a path of recovery.
  1. Made a searching, fearless, and honest inventory of ourselves and our families of origin.
  1. Admitted to ourselves and to another human being the exact nature of

our past.

  1. Became entirely ready to work at transforming ourselves.
  1. With the assistance of others and our own firm resolve, we transformed negative aspects of ourselves and cultivated positive ones.
  1. Made a list of all persons we had harmed and those who had harmed
  2. Then became willing to make amends and open to letting go of the shame and blame we hold for ourselves and others.
  1. Made direct amends and forgave such people wherever possible,

except when to do so would injure ourselves or others.

  1. Continued to take personal inventory and when we were wrong

promptly admitted it.

  1. Sought through meditation to improve our conscious contact with our highest selves and to find integrity in all areas of our lives.
  1. Having had an awakening as a result of these steps, we tried to carry

this message to others like us and to practice these principles

    1. Pumpkin carving & game night enjoyed by 8 of our ACAers.
    2. ORCA Conference in Ashland reported by Susan with very good response to our message to counselors attending and to a fair share of students attending Southern Oregon University. Many conversations answering questions, much literature given out and 3 of our recovery books sold.
    3. Outreach service opportunity to send emails to those in the mental health filed in the Portland area continues to be available. Some inquiries. Contact for this is acaoregon@gmail.com.
    4. ACA Thanksgiving Brunch is set for Thursday, November 26 and hosted by Chuck O and Oregon City Group.
    5. ACA Winter Party is scheduled for December 13. The two leader hosts were not present. Susan reported that she received a message from them saying that the venue was not secure as yet and that Sunday, December 13 was unable. They were asking to reschedule for Friday the 11th from 7-9 pm. A request was made for $150 for food and décor. Motion made (1st Brendan, 2nd Claire) to preapprove the request for $150 once the venue was secure. Passed.

    7. Susan reported on ideas to improved our outreach table as was done in Ashland, including a special table cloth to draw people to our table, framed display pictures of the Laundry List and Solution. An ACA banner is suggested to be place above and behind the table.
    8. Step Study Groups are announced on the GR announcement sheet   www.acaoregon.com has a current list, when info is made available of a group starting. It is under the“Meetings” menu and titled “Step Study” When the group alerts acaoregon@gmail.com that it is closing to new members, then the meeting is removed from the site.
    9. Discussion about if we want to add a speaker panel meeting for mid to late January to finish out the year with current officers and before the February planning meeting with new officers. Chuck will contact Day as he had suggested previously a special speaker he had in mind.
    10.  Review of the IG policy for officers & voting if they are not a group rep. It was found that under IG Policies and Procedures there is no language to address this. Rosemary moved that the following language be added to IG Policies and Procedures: “Any member currently serving in an Intergroup Office whose “home” ACA group (the group he/she represents at Intergroup) disbands during the term of his/her service may continue as an Intergroup Officer until the end of that term of service. He/She retains full voting rights until the end of the current term.” (1st David, 2nd Brendan) Motion passed.
    11. Concerns voiced by Rebecca on the lack of long term ACAers available to be sponsors. Many use the Fellow Traveler model but others wish to have a traditional sponsor. Discussion followed on what WSO and other programs use to support those who are willing to be sponsors and how to support those looking for a sponsor.

    1. Brendan reported that the WSO literature discounts will not be able to be passed on to the Alano Club and can only go directly to InterGroups as the WSO’s plan was to put those discount dollars into InterGroup treasuries.
    2. Susan reported that she has tried to call the ORCA several times to register  but has not heard back from them as yet. Susan recommended that 5 of our pamphlets seem appropriate literature to give out to the counselors. She recommended 50 of each of them and also BRB’s, Yellow workbooks, and SMR daily readers to have on hand to sell. Total cost would be $259.50 without shipping for pamphlets only and $405.50 without shipping for pamphlets and recommended number of books.  Motion made (1st Daniel, 2nd David) to pay Susan $405.50 now for her recommended number of pamphlets and books so she can order in prep for ORCA outreach, and to pay Susan the shipping costs later when known, and also pay for travel mileage expenses. Motion passed unanimously. Conference is October 23 and 24 in Ashland, Oregon.
    3. The outreach service opportunity remains available for volunteers to send our ACA info by email to various mental health professionals in the Portland area. The emails are ready and it is basically a cut and paste task to send info to each mental health professional.  A notice will be added to our announcement page for group reps to share. Contact Claire with those who wish to volunteer for this.
    4. IG has been asked by groups to make available the Breaking the Bonds by printing and distribution. Discussion followed. This literature is excellent and is available on our website to download and print but it is not WSO approved. A previous vote by IG was not to fund the printing or distribution with IG funds.  A new motion (1st Chuck,2nd Liza) to let Breaking the Bonds to remain on the website for groups to download and print on their own and to not use IG funds for printing or distribution was made and passed.

          1. Pumpkin Carving & Game night is Friday, October 23rd at Brendan’s home. Motion made (1st Brendan, 2nd David) for IG to fund this event with $50 to purchase pumpkins, and carving tools. Motion passed.
          2. ACA Thanksgiving Day Brunch will be Thursday November 26th, at Village Inn restaurant near Lloyd Center.  Chuck will have flyer.
          3. Winter Party scheduled for Sunday December 13th is being planned by Rexanna and Daveena.

    2. Literature discounts from WSO for registered ACA Intergroups. Brendan is working on this and report tabled for next month.
    3. Ideas for outreach and literature for it. A service opportunity is available to send our info by email to various mental health professionals.     4. Outdoor Speaker meeting/potluck for Sunday September 27 at Mt Tabor Park is coming up. We have secured our permit to use the facility. Susan volunteered to lead the group into sharing on the topic.
    5.  ORCA (Oregon Counselors Association) will be in Ashland, October 23-24. Discussion about a volunteer to set up and answer questions at our table with our literature during this conference. Motion made (1st Rebecca, 2nd Chuck) that we spend the funds for registration and materials for this conference. Motion passed. Susan will contact Lloyd to see if a local ACA-er will volunteer.
    6. We did not participate in the Oxfest outreach of September 7. No funds were spent on this.

    1. Over the River Hike for Sunday October 4 has no event leader. Motion made (1st Daniel, 2nd Rosemary) to cancel this event. Motion passed.
    2. Craft Night/Collage Making/ Pumpkin Carving is on the schedule for Friday, October 23rd from 7 to 10 pm. Brendan volunteered to be event leader and changed the event to Pumpkin Carving and game night with s’mores and spiced cider at Brendan’s home.
    3. Upcoming event: our traditional Thanksgiving Brunch. Chuck is event leader.
    4. Upcoming event: Winter Party for Sunday December 13t. Daveena and Rexanna are event leaders.  Motion made (1st Rexanna, 2nd Daveena) to spend funds to rent the Alano Club basement for the party. Motion passed.

    1. Prison Ministry meeting. Susan reports that Michael contacted her.  IG had previously voted to pay 50% of all BRBs for prisoners who are attending inside ACA meetings. Michael had purchased $120 of books some time ago.  Books must be sent directly from WSO to the prison per regulations. Prisoners pay 50% of book costs. Michael paid the shipping and is asking reimbursement of $60.  For future, copy of invoice is requested by IG.
    2. Speaker Panel Committee [Chuck]:  Speaker panel meeting is set for Saturday, June 20th in Building #2 at Good Sam Auditorium. Potluck will be as per usual. The topic will be “Boundary Setting and Conflict Resolution”.  Speakers are needed in addition to Chuck and Don.  Rebecca reported that she had heard there is now a high cost to park in the parking structure. Street parking is recommended until this is verified.
    3. Professional web support tech support bids are in process but not available for this meeting.
    4. Step Study Coordinator position has now been filled by Jeanne. Currently email notifications will go thru Claire and be re-routed to Coordinator.
    5. June 27, Saturday, is the new date set for the BBQ and game night. New location will be Brendan’s home, on NE 42nd. Start time will be 5 p.m.

    1. Affirmations Workshop. It was moved (1st: Day, 2nd: Daveena) and approved to be  rescheduled. No venue and the speaker declined for our scheduled date of May 16.
    2. Over the River & Thru the Woods is scheduled for May 24th at Tryon Creek from noon to 3 pm. With a brown bag lunch.
    3. Claire reported that she has spent a lot of time putting media into the website files but has come to a standstill to move forward. She requested we pay for tech support as Word Press does not provide it.  Discussion resulted in a request to gain quotes from available tech support persons for “ one hour of consulting of files transfer to the preferred format and for learning how to upload the audio files to wordpress.com”.
    4. Day started a discussion on possible violation of the 4th Tradition by posting individual meeting info other than the room location.
    5. Claire led a discussion on how difficult it is to know when and where new step study meetings are in progress. It was suggested we have a service manager set up to help keep maintenance of the current list on our website and that we call this person the Step Study Coordinator. Discussion continued on how much time in the program this person would need before having access to making changes on our website.  A motion was made (1st: Day, 2nd: Rebecca) that a minimum of 6 months of active ACA participation for Step Study Coordinator be required. ACA Intergroup #589 March 2, 2015

Susan called the meeting to order at 6 pm inviting all to read aloud of the 2nd tradition prayer.

In attendance were Susan K, Liza, Daniel W, Rebecca S, Claire P, Chuck O, Daveena, Rexanna M, Day C, Mike W, Sandi, Ruth L, David M, and Andrew L

Minutes of February meeting reviewed by members. Liza moved and Sandi seconded to accept the minutes as printed. Motion passed. Previous minutes of 8-4-14 and 10-6-14 are noted to be irretrievable so consensus was agreed to have a clean slate of all previous minutes.

Treasury report by Daniel: 1) Book vault checking account balance as of 2/28/15 is $387.69. 2) Regular checking account balance as of 2/28/15 is $1723.01. 3) Regular savings account balance as of 2/28/15 is $5. 4) Book vault savings account balance as of 2/28/15 is $5.

Book Vault report by Susan that 10 books are being held by Susan for the Alano Club. Discussion followed on the Alano Club’s addition of a per book fee. It was suggested by Day that we go back to plan A and have available books at our cost during Intergroup meeting time to keep the cost at the lowest. Under this plan the books would be stored in our Alano Club closet.

It was also suggested that the Alano Club do the ordering direct instead of Intergroup.

The service fee that the Alano Club is currently charging is for the convenience of ACA members who want to purchase books during the month instead of waiting for Intergroup meetings and group reps to bring the books to individual meetings.

No motions received seconds so it was agreed to table this decision until the Alano Club could answer the questions that came up during discussion.

Old Business:

Committee formations and establishing chairpersons were discussed. The Mission of the ACA Oregon Intergroup was read aloud to the group by Susan. This is also on our website under Policies and Procedures.

New Business:

  1. Susan volunteered to be the contact person for the upcoming Inner Child Fun event on March 15 at Oaks Park Roller Rink.
  2. Liza made a motion which was seconded by Rexanna to use Intergroup funds to make available 2 half scholarships to Western Washington Retreat Scholarship Fun of $105 each. Day commented that scholarships are available and no one is ever turned down.
  3. Upcoming Speaker Panel is Saturday April 11. Chuck announced the topic will be “Sponsorship/Fellow Traveler” .   Speakers are needed to share their experience for 15-20 minutes per person.
  4. The discussion for possible support for the CRCI prison meeting was tabled.
  5. David of Wednesday’s new “Gentleness” meeting  asked for financial support of the meeting from Intergroup.  Susan answered that each group is to be fully self supporting but that Intergroup could provide a new meeting packet. Rebecca will look into it from WSO.

Treasury Report: 1) Book vault is $42.96 as per bank statement of 1-31-15. 2) Main checking account is $1283.99 as per bank statement of 1-31-15 as Daniel not able to attend today. 3) Savings account is $5. 4) Book vault savings account is $5.  Motion made by Day and 2nd by Sandi to accept the treasury report per bank statement. Book vault report: Alano is currently out of yellow. Susan has 20 BRBs and 20 yellow in her possession and will resupply Alano club.  Report that Alano club is charging $15 for yellow when it should be lower priced.  Susan said she will speak directly to Brent, Alano manager about the price fluctuations.  Susan reported that WSO now has hard copies of “Strengthening My Recovery” the ACA, daily mediation book.

  7. Next Intergroup meeting will be the 2015 planning session. Rexanna offered a potluck at the Alano club on a Sunday afternoon. This meeting is for intergroup members only, but input was requested by Liza from  all the various local group meetings. Meeting time will be announced after confirmation with Alano Club. Proposed that we try for February 8.
  8. Outreach committee will not be set up at the planning meeting. Ruth and Daniel will meet separately as a committee.

The meeting was opened by Susan, chairperson, by inviting those in attendance to read the Tradition 2 meditation.

Book vault report by Susan that she has 20 red books and 20 yellow books being held by her in the Intergroup inventory for the Alano Club.

Old Business:

Thanksgiving Day Brunch was well attended by 18 in attendance.

Ruth reported that she has been printing and distributing 25 copies of  the problem and solution from our website and with the current meeting list on the back side. She brings 25 a week to the Alano Club and they are well received. It costs her $3 per week in printing costs. She is asking for help in the project and Mike agreed to help.

Breaking the Bonds pamphlet report tabled to January 2015.

Meeting flyers for distribution points not printed yet. Several changes need to be made. This topic has been tabled till January.

Port Orchard Retreat was reported to be “awesome”.  Total attendance was 61 and 40% were from Portland area.

Ruth distributed affirmation magnets that she had made to those in attendance.  Ruth stated she has 140 and would like to see them sold individually and proceeds go as a fundraiser for Intergroup. A motion was made by Rebecca S and seconded by Claire that we use the magnets as a fundraiser, selling them for $1.00 each. That we pay Ruth her costs of getting them made, and that the GR’s each take what they think will sell back to their respective groups, bringing the proceeds back to the next month’s meeting. Discussion followed and the question was called. Motion passed. (Distribution as follows: 1) Sandi took 20 for the Saturday am meeting, 2) Lisa took 5 to the Thursday pm Lifesaver, 3) Rexanna took 20 to the Wednesday pm meeting, 4) Chuck O took 5 to the Sunday Oregon City pm meeting, 5) Daniel took 40 to the Monday pm meeting, 6) Mike took 25 to the Saturday pm meeting, and 7) Rebecca took 8 to the Gresham meetings.  16 left over).

It was announced that Rich of the Saturday 1:30 pm group is selling affirmation books for $10 each.

New Business:

The national convention is asking that groups and individuals review “The Laundry Lists and their Flip sides” read only document online at adultchildren.org and provide feedback for the February 2015 business meeting.

A reminder was made by Susan that officer elections for intergroup will be in January, and that the planning session will be in February.

Susan also announced that Lloyd from Port Orford has reported that the new group is “going strong” with 8-9 in attendance and that they are looking into starting a group in Lincoln City and will report back with info on that.

Discussion was had for an Outreach Committee. Daniel and Ruth stated their interest in being involved. It was decided to add this to the January agenda.

Chuck O is asking the groups to provide topics of interest for upcoming speaker meetings.

Claire asked for a helper in updating the meeting list for the website and for help in answering the emails that come through from the website. Rebecca volunteered.

ACA Oregon Intergroup #589 Meeting Minutes for 11-03-2014

Opened the meeting at 6pm with the Second Tradition Meditation.

Approval of past meeting minutes for 8-4-14, 9-8-14, and 10-6-14 were tabled.

Treasurer’s Report:  It was reported that the Book Vault Checking Account balance is $527.31.  The Book Vault Savings Account balance is $5.00.  The General Savings Account balance is $5.00.  The General Checking account balance is $930.90 with 2 uncleared checks.

Book Vault Report:  Susan reported that she placed an order for 20 more Red Books and 20 more Yellow Books today, 11-3-14, for Intergroup inventories.  The Alano Club had just taken delivery of the last of our inventories.

Under Old Business Heading:

Chuck brought flyers to distribute for the ACA Thanksgiving Day Brunch.

Susan reported that she was still unable to get meeting list flyers printed up and distributed due to not having the time.  Deb (from TrueSelves meeting) asked if she did it, could she get reimbursed, and it was agreed that since the funds were already approved at Intergroup, she could be reimbursed for the printing of meeting list flyers to set out at the Alano Club table.

A reminder was made about Reps announcing in their meetings about the upcoming Fall Retreat in Port Orchard and that the deadline for sign up is Monday,  November 10th.

Under New Business Heading:

A reminder was given that ACA WSO had a letter out to the groups about submitting proposals for the upcoming 2015 ABC (Annual Business Conference) and that there is more info about it at the WSO website:  adultchildren.org

A reminder was given that the election of officers for 2015 for ACA Oregon Intergroup #589 would take place at the January 2015 Intergroup meeting and that the Event Planning Session for 2015 would take place at the February 2015 Intergroup meeting.

Susan wanted to encourage the groups to take some time, if they so desired, to refresh themselves on what the Big Red Book has for experience, strength and hope for providing safety in meetings.  The pages she thought could be useful to look at are The Twelve Traditions (starting on page 489), and pages 584-585.

Lesley reported that the Tuesday meeting in Battleground, WA had changed its time to 12:30.

ACA Oregon Intergroup #589 Meeting Minutes for 9-8-14

6:00 pm, meeting opened with the Second Tradition Meditation.

In attendance:  Susan, Claire, Day, Chuck, Davenna, Rexanna, Bob,  Sandi, Wally, Saska.

Approval of meeting minutes from meeting held 8-4-14 were tabled.

Day reported the Treasury balances as of 8/31/14 are as follows:

General Checking account:  $510.90

General Savings account:  $5.00 (required to keep checking acct open)

Book Vault Checking account:  $339.79

Book Vault Savings account:  $5.00 (required to keep checking acct open)

Day reported that the ACA Oregon Intergroup rent to the Alano Club had been paid 9-8-14 for the months of August and September 2014 and that the next month’s Treasury report will reflect that payment in the balances.

Susan reported that there are currently 10 Yellow books in IG Inventory ready to go to the Alano Club when they are ready for them.  She also placed an order for 20 more Red Books on 9-8-14 as the Alano Club is out of them and so was the IG Inventory.

Under “Old Business”:

Daveena and Rexanna reported a successful Picnic that brought 26 people out (one more than the prior year!).  They also were able to return $7.76 to the Treasury as they did not need it for supplies for the picnic.

Chuck and Claire reported that the upcoming speaker panel meeting scheduled for Sunday, Sept 28th currently has 2 speakers signed up (Don & Julie).   Day suggested that we extend an invitation to the Bothell, WA groups to come down to attend and possibly see if any more speakers could come forward from their members.  It was suggested that Day contact them with the invite and for him to give Chuck’s and Claire’s email addresses to them for more info.

Susan asked if anyone was aware of any Outreach Committee activities going on with getting meeting list flyers out.  No one knew of anything.  Susan volunteered to do some distributing of flyers to locations on the list that Don had compiled, but would need Intergroup to fund the printing of the flyers.  Sandi made a motion that Intergroup fund the printing of up to 250 flyers if the cost can be kept under $50.   Chuck seconded.  The motion passed unanimously.

Susan asked if there would be an interest by Intergroup Reps for a “cheat sheet” that would be kept current each month and sent out via email to aid in making announcements of events and happenings during the Announcements section of their meetings.   The response was positive, so Susan will start to send a “cheat sheet” out via email for Intergroup Reps to aid in making announcements.

Under “New Business”:

Susan had received flyers for Hands Across the Bridge/Oxfest for Sunday 9-14-14.  It is an annual sober event in celebration of Recovery Month (September) that is put on by the group that does Oxford Houses (sober recovery houses) in Washington and Oregon.  The flyers were given to Claire for possible posting on the ACAOregon.com website.

The ORCA Conference for October 4th thru 5th being held at PSU was brought up to see if anyone was interested in helping bring an ACA presence to it with a booth, but it was turned down due to lack of response.

Susan had received 3 emails concerning Intergroup, so she shared them.  The first was from Emily in Gresham sharing her space saving version of the local area meeting listing that is a trifold, half sheet of paper.  Susan liked it, but there wasn’t enough response about whether we could use it or not, so it is tabled for now.  The second email was from Ruth announcing her step down from Intergroup Rep for Saturday as Mondays became a conflict for her to attend meetings.  And the third email was from Claire sharing that Don was going to speak at the upcoming panel event and that he says he would bring $125 for Intergroup.  $100 returned for a printer that was not purchased (very old business) and $25 for CD sales.

Susan brought up the possibility for changing the timing of the election of officers and the yearly event-planning meeting.  She felt that if election of officers is held in January and then the yearly planning meeting in February, then the newly elected officers could have more ownership in the years events that they got to serve through.  A motion was made by Chuck to change the election of officers to the January meeting and the yearly planning meeting to February’s meeting.  Day seconded.  Motion passed unanimously.

It was brought up that Texas is looking for long distance sponsors.  They are also looking for some of the speaker CD recordings.  Bob volunteered to ship the CDs and the Monday night Trueselves meeting has a signup sheet for those interested in sponsoring our Texas brothers and sisters.

Rexanna asked reps to ask their meetings if there might be any interest in a December Holiday event/activity and to bring feedback of it back to the next meeting.

ACA Oregon Intergroup #589 Meeting Minutes from 06/02/2014

Meeting opened at 6pm with Second Tradition Meditation .

Dianna motioned to accept the minutes for the 05/05/14 meeting as written, Chuck seconded and it was passed by those who had attended.

The Treasurer’s Report reflected a balance of $137.00 in the main account as of 05/09/14. Daniel motioned to accept the Treasurer’s Report as presented, Day seconded and it passed.

Susan reported that the inventory and ordering of the ACA Red Books and Yellow Books to keep the Alano Club supplied was going smoothly. It was brought up that there should also be a Treasurer’s Reporting of the Book Vault bank account and it seemed that everyone was in agreement with that. Also a tally will be kept of the books and their whereabouts. Susan and Day will work on having this available for all future meetings.

The Calendar Mid Year Review (as scheduled at the 2014 special Planning Session held 2-2-14) was the next subject of discussion.

A. The Saturday, June 23rd from 3:30 to 5:30 “Healing from Grief” Speaker meeting has 4 speakers thus far and would be great to add one or two more. Chuck presented a flyer he created to be passed out at meetings and posted around. Claire said she’d put another post up on the website. Everyone will keep announcing at their meetings for more speakers for it and also to announce the event.

B. The July regatta slough activity possibility that was listed on the calendar was discussed. Daniel volunteered to look into it further to gather more information.

C. The Saturday, August 23rd from 11am to 5pm Annual Picnic was discussed next. Rexanna and Daveena were the organizers of this event, but neither were present to know if there was anything more that they wanted help with. Claire agreed to post a “Save the Date” post to the website.

D. The next speaker meeting would be Sunday, September 21st. The topic will be Blameless Inventory & Replacement Behaviors. Dianna, Chuck, and Claire said that still sounded like it will happen.

E. The ORCA Conference will be held at PSU in Portland this year on Oct 4th thru 5th. It was thought that there will still be a possibility to get volunteers to set up a booth for it. It will be looked at more closely as the time draws nearer.

F. The Fall Retreat in Port Orchard will be held Nov 20th thru Nov 23rd this year.

G. Chuck O says the Thanksgiving Brunch will still be done this year. Details will come as the date approaches.

H. The ACA Oregon Intergroup Planning Session for 2015 was on the Calendar and will be looked at as the time comes closer.

I. The “Other Possible Additions” list was discussed. Bob said he would volunteer to scan other 12 step programs’ websites looking for possible outreach events that local ACA could participate in.

**J. Ruth noted that she printed 100 copies of “Breaking the Bonds” (newcomer booklet) at $.87 each and distributed to groups. The groups are reimbursing Ruth. In coordination with Claire, the cover for “Breaking the Bonds” was updated and then posted to the ACAOregon.com website under “Meeting Materials” for all to access.**

Old business was next on the agenda. Daniel from Trueselves brought up the Intergroup combo locker that is located up in their meeting room at the Alano Club. The Trueselves meeting would like to use it if the Intergroup is not. Susan felt that it was no longer needed for the book vault. Day agreed to look into the locker to make sure there wasn’t anything of the Intergroup items in there before giving the combo to Trueselves meeting for their use.

New Business was next. 1. Susan wants to work with other local 12 Step groups to get the ACA Oregon Intergroup website link added to their websites in trade for putting their websites’ links on our website. It seemed that this was an ok thing to do. 2. There was discussion about forming another “Outreach Committee” with Daniel, Chuck, Susan and Jim volunteering to be a part of that. 3. The ACA Meditation Books were discussed, but with Intergroup funds being as low as they currently are, there are no current plans for ordering them and providing them at the bulk rate discount through Intergroup. 4. Carrie volunteered to hold an Argentine Tango class for ACA as a fun time activity. Day motioned to authorize Carrie to look into a location and time and suggested donation for Intergroup to provide snacks & beverages, Dianna seconded and it passed.

Held on 05/06/2014

Meeting opened at 6:07 pm with the Tradition Two Meditation.

OLD BUSINESS:

Meeting minutes for April 7, 2014 were read, Susan motioned to approve them, Day 2nd the motion.  They were unanimously approved.

TREASURER’S REPORT:

Dianna reported $229.00 in the Bank account after paying $20.00. Andy motioned to approve it, Susan 2nd the motion. It was unanimously approved.

OTHER COMMITTE REPORTS:

Chuck stated that on 06/21/14 is a 2nd presentation called “Healing from Grief” at 3:30pm to 5:30pm and still requesting volunteers for the panel.   Claire has information about a possible lead; she will forward the information to Chuck.

Claire returned the $15.00 check to Dianna since presenters did not want any gift/donation.

Book Volt – Susan sold red books and yellow books, she gave the money to Dianna.

NEW BUSINESS:

Ed asked group conscious about the boundaries book from Mimi & Roger to be placed in the website with a disclaimer that this brochure is not ACA approved.  Gina motioned and Andy 2nd the motion; Day & Dianna abstain of voting.

Ruth wants to re-print “Breaking the Bonds” pamphlet for each individual group; pamphlet is in the website under meeting materials.

Ruth is willing to check the cost to order those in value and coming back to the meeting with the price and cost of them if desire to order.

Meeting opened at 6:05 pm with the Tradition Two Meditation.

OLD BUSINESS:

Meeting minutes for September 2, 2013 were read, Susan motioned to approve them, Chuck 2nd the motion. They were unanimously approved.

Meeting minutes for March 3, 2014 Claire motioned to approved, Dianna 2nd the motion. They were unanimously approved.

TREASURER’S REPORT:

Dianna reported 88.54 in the Bank account after paying Book Vault and Picnic for 08/2014.

OTHER COMMITTE REPORTS:

DaVeena reported reservation for the park for the picnic is done and paid in full.

Ed discussed purchase of red books and Susan gave to Dianna the check to deposit in the account.

Chuck discussed the success of the presentation on 04/06/14 and congratulated Claire for her great job done in organizing event.

Chuck stated that on 06/21/14 is a 2nd presentation called “Healing from Grief” at 3:30pm to 5:30pm. There will be a presentation panel; the idea is to have 6 panelists. Chuck and another member are signed to assist with it. NEW BUSINESS:

Susan went online to order 20 red books; the shipping and handling charge was inflated by a total of $16.96 that she needs to charge. She verified the changed of the amount; she was told the difference of S&H will be reimburse back but unsure of the time line for this.

Chuck motioned to give her $20.00 for this purpose.

Gina 2nd the motion. It was unanimously passed.

Dianna will transfer the money.

Discussion of Prison Outreach, Michael reports group is growing and some members of the group had achieved step 5.

Claire motioned to pay $5.00 to Rexanna since she bought a card for the presenters on 04/06/14.

Chuck 2nd the motion. It was unanimously passed.

Claire motioned to give a gift card for $15.00 to Mimi and Roy for the presentation on 04/06/14.

Chuck 2nd the motion. It was unanimously passed.

The group discussed that it is necessary to keep 2 months of rent in the checking account for the total of $40.00.

Reminder the next Intergroup meeting on May 5, 2014 will be elections. There will be open elections for Chair, Vice Chair, Secretary, and Treasure.

It is important to remind our individual groups about assisting to the meeting and to send at least 2 people from each meeting.

Meeting opened at 6:05 pm with the Serenity Prayer.

OLD BUSINESS:

Meeting minutes for November 4, 2013 were read and unanimously approved.

Meeting minutes for January 6, 2014 were read and unanimously approved.

Day mentioned that it was approved at the February 2, 2014 Intergroup Planning

Session to read the 2nd Tradition Meditation (BRB pg. 502) to open the Intergroup

Meetings.  Several other attendees remembered it as well, so the meeting was

re-opened with the 2nd Tradition Meditation read by Day.

Meeting minutes for February 2, 2014 special Planning Session were read,

had corrections inserted and unanimously approved with the inclusion of the

corrections.

TREASURER’S REPORT:

Dianna reported $728.00 in the Bank account with one $20 check left

outstanding.

Ed made a motion to nominate Gina for Record Secretary. Day seconded.

Passed unanimously.

Discussed Procedure for Book Vault.  Ed, Susan, Dianna and Day planned to

get into the bank to get a sub-account set up with a deposit of $505.00 for book

vault.  Approved previously.

Discussion about price of books sold at the front office at the Alano Club; the

office rounds price to next dollar amount.  Chuck motioned that it was alright for

the Alano to do this, Claire seconded. Passed unanimously.

NEW BUSINESS:

Discussion about speaking event Bullies & Boundaries happening on 04/06/14

from 3:30pm to 5:30pm at Hospital Good Sam – Auditorium.  Claire and Rexanna

are working still the details of locating speakers.  A flyer will be prepared by

Dianna and it will be posted at the ACA Oregon website.

Discussion about format of the event to include the traditions; Traditions

committee will work on their segment which will last 5 to 10 minutes.

Chuck also talked about to add in the flyer the option to bring a snack to share to

the event.

Reminder about Retreat on 04/10/14 to 04/13/14 and that information is on

website.

Discussion of future elections for the intergroup business meeting; the need/

request to have more than 1 member for each meeting, to have more participants

and new ideas into this group.

Rexanna motioned to have Picnic Party on Saturday instead of Sunday due to

access to a pool.  Passed unanimously.

Rexanna & DaVeena motion to request 2 checks to the Secretary for the amount

of $125.00 to cover the permit & registration to reserved the park Montevilla for

the Picnic Party on 08/23/14.  Ed seconded.  Passed unanimously.

Susan talked about Emily from Monday’s group at Gresham; she is going to

start up the hikes called “Over the hill and through the woods” the last Sunday

of the months.  Ed requested to Susan to ask Emily’s permission to place this

information on the website.

Minutes

Meeting was called to order at 5:30 pm. Opened with the Serenity Prayer.

Roll call: James, Davina, Chuck, Rexanna, Susan, Carol, Buzz, Claire, Ed, Day, Don, Carolyn, Andy.

Minutes: After discussion Don motioned that the June minutes approval be tabled, Day seconded. Ed abstained, motion passed.

Treasurers Report: Discussion regarding requirement for two signatures on all checks as written in the bylaws for the Intergroup Checking account was reaffirmed. The Chairman, Vice-Chairman, and Treasurer are authorized to sign. The balance in the IG checking account is $789.89 as reported by Dianna. Buzz motioned that the report be approved, it was seconded by Andy.  Motion passed unanimously.

Old Business: Book Vault, a discussion about the checking account for the book vault took place. Day motioned that there be two signers for the account with Buzz as a signer, Day and Dianna as principles on the account and signers. Don seconded. Carol and Buzz were nay votes motion passed.

Day motioned to have the Intergroup make initial purchase of the books he has on hand for the book vault inventory. Susan seconded the motion. Motion passed unanimously. Day is to determine the available books and make transaction with the IG Treasurer. Future purchases are to be made with a 20 book minimum order to obtain the discount from the supplier. Debit card is still under discussion for expediting this process to 5 days.

Motion made by Andy to adopt the Book Vault Committee recommendation for distribution, Chuck seconded. Motion passed. Distribution of books will be on the first and third Mondays at the Alano.

Motion made by Ed to contact all known groups in ACA# 589 for the purpose of information transfer. Requesting response from all the group secretaries. Susan seconded. Please use edmatthews30@yahoo.com for contact to be posted on web page. Motion passed.

New Business: Literature /Outreach:     Ed motioned to create a committee to determine job description and duties of this position. Amended by Andy to have Don on this committee, Day seconded. Motion passed. Susan and Carol volunteered to be on this committee.

Webmaster/Webpage:  Claire was introduced as the new webmaster. Claire motioned to obtain funding to renew the website at a cost of $48.00. Carol seconded. Unanimous approval. Claire is to obtain the money through the treasurer or use Dons’ debit card and get reimbursement from the IG account, this motion was seconded by Andy, motion carried. A motion was made by Ed to have the Literature/ Outreach committee provide an outline and scope for the webmaster position. Don seconded, motion passed.

Web page information update for: Prison Outreach; Oregon Counseling Assn; Teen ACA; upcoming events. With removal of past functions. Also seeking updated contact information of all groups associated with Oregon ACA # 589.

Annual ACA Picnic:  Day motioned to create a committee for the picnic, Rexanna seconded. A discussion took place with an amendment to authorize $120.00 to secure a place for the August 18, 2013 event. The motion passed. Davina and Rexanna are co-chairs for this committee. Don volunteered to create a flyer.

Teen ACA Group: Carolyn, a high school Counselor at Mountain View H. S. in Vancouver, Washington located at NE 162nd & Mill Plain spoke to the Intergroup about starting a program to begin in September 2013. She would need sponsorship and Leaders as she is the schools’ representative. Andy motioned for the ACA Intergroup # 589 be the program sponsor, Carol seconded. Unanimous approval. Anyone interested in working this daytime program please contact the outreach committee. There is a great need to assist in helping our youth with the effects of dysfunction and alcoholism.

Recording Device: Day motioned to allow a recording device during the business meeting for the purpose of accuracy in the minutes. Rexanna seconded. After discussion a vote was taken. Don, Claire, Carol, an Andy voted no. Motion passed. *Addendum After the meeting a discussion providing a secondary solution to attaining accuracy was proposed with the Secretary and the Webmaster working together to write the information instead of recording the meeting. With there being a significant opposition to recording the meeting, I as Secretary withdraw my request to use a recorder. Feeling safe is a very important part of our program. It is also vital to be accurate in our business actions as determined by Oregon Statutes for a not for profit organization.

Ed motioned to adjourn the meeting at 7:05 pm, seconded by everyone, motion passed.  The meeting was closed with the Serenity Prayer.

Meeting was called to order at 5:30 pm. Opened with the Serenity prayer.

Minutes: The May minutes were read and approved.

Treasurers’ report: Previous treasurer Emily transferred $740.31 as of April 1, 2013. Current treasurer Dianna M opened an account at Unitas Credit Union, with checking and savings. $5.00 was put in the savings account. A motion was made by Andy/ seconded by Buzz to have 3 signers on the account with one signer being required… Motion passed unanimously. Further treasury information regarding book vault listed below.

Old Business: June speaker meeting has been rescheduled for the 15th, 3:30 pm at the Good Sam conference room. Judy C will be leading a Guided Affirmation Meditation. James is to email flyer for distribution. Buzz to contact Don re: Signs, bring roll of paper. Day is to contact Rexanna about pens.

O.B. cont… Oregon Counseling Assoc. Conference scheduled for Nov. 9th, 2013 in Eugene at the Valley River Inn is being organized by Andy. The IG motion was made by Day and seconded by Michael to have Andy be the point person and organizer. Assistance for this event is being sought, please contact Andy. A panel of speakers will be utilized during this event.

O.B. cont…. Michael brought forward information regarding opening a meeting at the Columbia River Correctional Institution on Monday evenings starting in August, 2013. Volunteers to participate are being sought. For more information please contact Michael at birchjones@hotmail.com.

New Business: A motion was made by Day /seconded by Carol to create an Intergroup Literature service position. The actual duties for this position have not been outlined or approved, further research to be made before filling the position.

Discussion was held regarding this years upcoming events, with more input needed from the various groups about leading the activities. This will be continued at the next meeting.
